Job Title: Administrative Staff

Position: Permanent Part time / 32 hours a week

Job Purpose: This role is essential to the operations of the union, providing support in a range of areas within Administrative Services, including general office administration, member communication and clerical support. The successful candidate will be a consummate professional, able to perform work accurately and efficiently in a deadline-oriented, fast paced union office. The role requires discretion, political judgement and a broad understanding of the labour movement in British Columbia.

Salary: according to the USW 2009 collective agreement starting wage of $27.09 per hour

Key Responsibilities

The successful candidate will work in assigned areas of Administrative Services, such as member records management, grievance processing, management of collective agreements, and member communications using mass emailing systems and graphic design programs, as well as perform general administrative duties as required. Knowledge of office software programs and platforms such as Unionware, MailChimp, Adobe suite and Igloo are key assets.

Key operational duties of Administrative Services include:

  • Maintaining of member database (Unionware), including updating member information
  • Preparing member communications, including letters, emails, mass emails using member database (Unionware) and other software platforms & programs (Mailchimp, Adobe, MS Office)
  • Processing and maintaining bargaining and grievance information; maintaining contact lists
  • Composing, typing, formatting, and proofreading correspondence, reports, forms and other documentation
  • Writing and editing professional emails and other correspondence
  • Knowledge and use of best office administration practices, including information architecture, file naming conventions, branding and style standards
  • Expert knowledge of PC and MS Office suite + other software programs
  • Reception and switchboard duties, including answer and directing phone calls and operating office phone system.
  • Assisting in the Mailroom/print room as needed
  • Meeting preparation; travel and event bookings
  • Filing and organizing
  • Other duties as assigned


  • Comprehensive experience in office administration project management
  • Expert level understanding of office administration best practices
  • Proficiency in writing, accurate spelling and grammar
  • Advanced skill level in MS Office suite (Word, Outlook, Excel, Powerpoint), office equipment and computers
  • Typing speed of 60 wpm, with high accuracy
  • Experience and working knowledge of Unionware or other member databases
  • Experience and working knowledge of mass emailers e.g. MailChimp
  • Working knowledge of graphic design software e.g. Adobe suite
  • Logical thinking and problem solving abilities
  • Capacity to act, prioritize and organize time independently
  • High degree of judgement and confidentiality
  • Ability to lift up to 20lbs without restrictions
