ONA is seeking to hire a Labour Relations Assistant (Membership Education & Events) to join our Education & Events Team. We are looking for a successful and enthusiastic assistant with a passion for member driven events and learning in healthcare to execute events flawlessly from conception through to completion. A strong team player who is experienced in event management and developing relationships and who is driven to providing outstanding customer service while organizing memorable events that meet quality expectations.
This position reports to the Manager, Membership Education & Events and works within the boundaries of ONA’s governing and administrative policies, vision and strategic outcomes, and team standards.
Our ideal candidate will demonstrate expertise, judgment and independence to provide advanced-level administrative coordination and support across their team with a professional and service-focused approach. With high attention to detail and exemplary initiative, the successful candidate will be accountable for providing support to members and staff, and in collaboration with our Labour Relations Officers, in a manner that is consistent with our member values.
This is what else you can expect from this dynamic role:
Make observable contributions to the success of other team members and the overall performance of the team.
Records management (electronically and hard copy); identify priorities within the tracking system.
Coordinate and maintain ongoing organizational projects as assigned in conjunction with the Manager, Membership Education & Events.
Coordinate (internal and external) resources assigned to assist with events.
Coordinate all event materials being shipped to the site location and organize storage area for easy access and inventory control. This will include documents, handouts and other key materials.
Maintenance and inventory control of event materials (e.g. credential stock, signage etc.)
Creation and maintenance of online registration site to include registration report processing (pre and post event), credential processing.
Accountable for reconciliation of event invoices ensuring contractual obligations are met. This would include reviewing invoices with original signed agreements, and conference planner, coding and reconciliation for presentation to Manager for sign off.
Communicate with facilitator on logistical arrangements for education workshops.
Draft, transcribe, prepare, proofread, photocopy and/or scan documents including letters, event evaluation memos, correspondence or copy-typing handwritten notes.
Convert documents from various versions to Word, and/or onto templates provided.
Calendar management including booking meetings, coordinating appointments and scheduling calls for provincial management meetings; at times, process incoming/outgoing mail and couriers ensuring the most efficient method is used for distribution.
What we are looking for:
The successful candidate will possess -
Post-secondary certificate and/or diploma in Business Administration, Administrative Services, Hospitality/Event Management or a related field.
Three (3) to five (5) years of relevant event management experience (or equivalent combination of education/experience satisfactory to ONA).
Records management experience.
Certified Meeting Professional (CMP) designation is considered an asset
Certificate, courses and/or experience in project management/coordination is an asset.
Advanced knowledge of Microsoft Office (including Word, Excel and PowerPoint); and demonstrated experience in database management.
The ability to multi-task, prioritize and manage multiple deadlines in a fast-paced environment in accordance with instructions. High level of accuracy and strong attention to detail.
The ability to work professionally with people from various levels of the organization; impeccable interpersonal, presentation, written and verbal communication skills.
Adaptable and flexible individual who can work effectively as part of a team.
Occasional travel required between sites/regional offices and/or provincially.
