The Association of Administrative and Professional Staff of the University of British Columbia (AAPS) is the professional association for the management and professional staff group at UBC.
AAPS represents more than 4,700 members in collective bargaining and dispute resolution with the University. AAPS supports members in resolving workplace issues and strives to improve their work experience at UBC. AAPS also creates a connected community of members through networking and professional development opportunities.
Management and professional staff play critical roles in every function of the University. Their leadership and professional expertise are essential to creating a world-class institution of learning, research, engagement, and innovation.
The Member Services Associate is an entry level position that serves as the primary initial contact between AAPS and our members. They are responsible for receiving initial enquiries regarding labour relations matters, Professional Development and Member Engagement events as well as more general enquiries about AAPS.
The Member Services Associate reports to the Executive Director but will also assist the other AAPS staff in ensuring AAPS is successful in meeting the goals established by the Board of Directors. They will be involved in and informed about all areas of AAPS’ activities.
They will also have primary responsibility for the development and maintenance of the AAPS Member Database.
- Receives initial labour relations enquiries
- Provides basic labour relations advice
- Provides synopsis of complicated labour relations issues for assignment by Executive Director, where necessary
- Tracks statistics related to various labour relations matter for use by Executive Director and MSOs
- Assists with the coordination of logistics related to professional development and member engagement matters
- Assists with the hosting of events that promote AAPS’ issues and initiatives, answer members' questions, and ensure a good member experience of logistics related to professional development and member engagement matters
- Assists with the organizing of New Member Information Sessions
- Works with other staff to produce member engagement statistics
- Develops and maintain database of members.
- Tracks member participation in AAPS events
- Tracks advocacy requests by member
- Analyzes and audits membership data
- Produces reports and other statistical information from the database
OFFICE AND GENERAL DUTIES
- Assists with the day-to-day operations of AAPS.
- Answers phones and direct enquiries, as appropriate
- Oversees the IT requirements of the AAPS office
- Assists the Executive Director and Office Manager as required
- Commitment to the labour movement and to broader issues of social justice and equality
- Friendly, professional and outgoing demeanor
- Comfortable dealing with individuals experiencing significant personal or career challenges
- Strong PC and Mac computer skills: word processing, database and spreadsheets
- Proven ability to set priorities and successfully manage a workload with substantial responsibilities and multiple levels of detail
- Excellent research skills and the ability to present research results in a concise and coordinated manner
- Excellent written communication skills with an attention to detail
