Administrative Coordinator: We are looking for an energetic, self-motivated problem solver to lead the Administrative Staff of UFCW 1518. The successful applicant will have highly effective communication with their team, and with all levels of the organization. They will prioritize a positive work culture, team building and inclusivity within their team and will work closely with the UFCW management team to ensure the Admin Staff are integrated into workplans to
support projects, campaigns and assignments within the organization.

The Coordinator is primarily responsible as a supervisor and must have a minimum of 3 years experience in direct supervision, and be eager to work with their team to ensure they are successful as a team and as individuals by working collaboratively to execute projects, and ensure that staff have clear expectations, training, and work reviews and feedback.
They will manage employees’ schedules, oversee and manage work assignments and flow, and regularly manage large and intricate projects. Working as supervisor in the bargaining unit they will possess leadership skills and equally be at ease and familiar with evaluating performance and providing feedback as they are in reporting to joint committees, HR and senior
management.

They will also ensure the offices, equipment and infrastructure are properly managed and maintained to ensure staff have a work environment to support and enrich them in their roles. This will mean building effective working relationships with vendor/contractors.

Skills and Responsibilities
Supervision: In supervising 10-12 employees, the Coordinator must be skilled and comfortable clearly communicating expectations and providing employees with the tools, training, and information they need to succeed. They will offer regular, timely, and constructive feedback and monitor employee productivity. They will frequently liaise with management to report the team’s performance progress and advise on performance, attendance and other issues when needed,
such as attendance management, quality and quantity of work.
Education and training: Post secondary certificates with preference for a bachelor’s degree in administration related studies. Extensive training in supervision and employee development and performance and workplace conflict management. Must possess superior skills and demonstrated ability with MS Office 365, Sharepoint, Adobe and CRMs and file management, with the ability to train others. Training and experience with planning and communication tools such Asana, Typeform, Mailchimp, Hustle and Simply Voting.
Work assignments: Help design and manage an effective system for overseeing admin work assignments. Understand workflow and support the admin team to be successful in their duties, providing them with training and documentation of processes and procedures. Update weekly schedules and manage time off and time banks following established policies and the collective agreement.

Planning and Projects: Working with the Managing Director and others, help fine tune a yearly calendar of events and activities as a key tool for planning work and workflow. Anticipate issues and be the project manager for larger events and specific jobs throughout the year and participate in budget planning.
Liaison and Committees Dealing with outside vendors, suppliers and contractors and report on and recommend changes including periodic request for proposals. Liaise with the Managing Director and others regularly to provide updates and potential solutions on issues regarding work progress, workload, equipment, and technology needs, training and development needs and other issues as they arise. Some involvement in joint committees anticipated, such as
labour management, health and safety.
Offices and Infrastructure: Oversite of the main office building and satellite office ensuring maintenance, repairs, infrastructure, supplies, and equipment are in place and functioning through the use of contractors, suppliers, tradespeople and delegation to other employees who will be responsible for various tasks such as sourcing, ordering and inventories.

UFCW 1518 Admin Coordinator Summary of Compensation
Starting rate as of October 1, 2022: $67,230
After 12 months $86,560
Allowances $800 paid quarterly

Statutory holidays:
• All provincial and federal stats

Vacation:
3 weeks to start progression up to 7 weeks

Accumulated time off:
4 hours accrued every week worked (a day off every two weeks)

Sick bank credits:
4 hours accrued every month worked to a maximum of 48 hours.
